How to Conduct a Meeting

We posted something about attending meetings properly. This time we’re going to show you how to properly conduct meetings:
Be organized. Make sure that you plan ahead.
Set the agenda carefully and clearly. Make a list of action items Meetings should not be long. Set a time limit and be clear about it. This shows that you respect your colleagues’ need for time management. This also shows that you are good at your own.
This said, be punctual. Set a good example to your colleagues.
Send out the meeting notification to interested parties. Don’t forget to include here the agenda. Don’t forget to request that attendees come prepared. Attach documents for review and request attendees for input.
Look the part. If you want to be taken seriously, you have to dress professionally.
During the meeting itself, stick to the agenda and keep an eye on the time. Avoid cross-talks as much as possible. If the discussion goes off-topic, remind the attendees of the agenda.
If bickering or arguments arise, just remain calm and diplomatic so you can resolve the issue properly.
Summarize at the end of the meeting. If necessary, you may also request for another meeting.
Remember to follow-up once the meeting is over. Send a list of action items, resolutions and issues that are yet to be resolved. Don’t forget to thank the attendees and request for feedback.
