How to Leave a Voice Mail Message

Leaving a message on someone’s voicemail can actually be daunting for some, especially those who have never used this feature before. Just think of it like a message you would leave in an answering machine. Here are more pointers:

If you know that your call would be directed to voice mall, then by all means, think through your message. This will make sure you will leave one that has a nice flow to it. It will also minimize awkward pauses and confusion.

Keep your message brief. Voice mail programs limit the length of the caller’s message. So get to the point and leave the unneeded details behind.

Be polite and keep your message clean. You might never know when or how the recipient is going to listen to the voice mail.

Last but not the least, identify yourself and leave a number where you can be reached. End the voice mail in a polite manner as well.

If you are not expecting to be directed to voice mail, you can always resort to this:

“Hi. This is (state your name) from (state your company). I need to talk to you about (briefly state reason for calling). Please call me at (state contact number and prefered time to receive call, if applicable). Thanks.”
