Sending out Invitations

Are you holding a party or some other occasion? Here are some pointers on how to send invitations:

You can send invitations via printed cards or through e-mail. However, make sure that you only e-mail people who frequently check their accounts so you will be sure that the e-mails will be read.

If you’re sending out e-mails, make sure that you put the e-mail addresses of people on the BCC line to protect the e-mail addresses of your invitees.

Address invitees individually. When inviting a whole family, you may address it as “Mr and Mrs. John Doe and Family.” When inviting extended family members, send separate invitations to them. When inviting a non-married couple, you may send out one invitation but write down the names in separate lines.

When writing the actual invitations, include the following information:

  • the name/s of the host/s
  • the nature of the occasion
  • the time, date, and venue of the event (don’t forget to include a map if needed)
  • an RSVP notation which indicates who to be notified and how
  • other important information such as instructions for dressing, etc.

Send out invitations at least a week before the event. Make sure you give ample time for people to reply and prepare for the party. If you’re mailing out invitations, check how many days or weeks will it take for the invitations to reach their destinations.
